Location: Huntingdon, PA
Position Overview
Huntingdon Client is seeking a detail-oriented and organized Administrative Assistant to support a two-office practice serving Altoona, PA, and Huntingdon, PA. This role involves managing administrative and office tasks for both locations, requiring exceptional communication skills, strong organizational abilities, and the flexibility to balance priorities across the practice.
Key Responsibilities
  • Administrative Support: Provide general administrative assistance to financial advisors and staff, including managing schedules, coordinating meetings, and handling correspondence.
  • Client Interaction: Act as the first point of contact for clients by answering phone calls, scheduling appointments, and addressing inquiries professionally.
  • Document Management: Prepare, edit, and organize client documents, presentations, and financial reports in accordance with company standards.
  • Data Entry and Maintenance: Update and maintain accurate client records in CRM systems and financial planning software.
  • Compliance Assistance: Ensure all client files and documents adhere to regulatory and compliance standards.
  • Office Management: Maintain office supplies, handle mail distribution, and oversee the general upkeep of the workspace.
  • Special Projects: Support ad-hoc projects as needed to meet team goals and deadlines.
Qualifications
  • High school diploma or equivalent; associate or bachelor’s degree preferred.
  • 2+ years of administrative or office experience, preferably in financial services or a related field.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with financial planning tools and CRM systems is a plus, but not required
  • Strong organizational skills with attention to detail and accuracy.
  • Excellent verbal and written communication skills.
  • Ability to handle confidential information with discretion.
  • Proactive, resourceful, and able to work independently and as part of a team.
